Job description

Business Manager is a new full-time position at Circus Juventas, with responsibility for maintaining, developing, and implementing existing policies and procedures. This position is highly collaborative and promotes interpersonal communications throughout the organization, including fostering systems that promote interdepartmental teamwork and good morale. The work is fast-paced, requiring excellent multi-tasking and time management skills, and the workspace environment is ‘open office.’

Circus Juventas is a tax-exempt nonprofit performing arts circus school for youth, dedicated to inspiring artistry and self-confidence through a multi-cultural circus arts experience. Offices, classes and most performances are housed in our permanent big top in Saint Paul. Founded in 1994, programs and performances have expanded greatly in numbers and complexity. Key Responsibilities and Duties:

Business Operations:
• Manage operations vendor contracts (e.g. facilities, ticketing, technology, concessions) and analyze relevant expenses to ensure cost-effective purchasing strategies
• Receive and/or generate and track invoices for vendors, customers, and sponsors
• Manage merchandise and concession purchasing
• Coordinate inspections, licenses and permits, emergency action plans (e.g. fire drills), and ADA accessibility programs
• Coordinate process of updating policy handbook for students and their families
• Assist in planning, contracting and executing all performances and events
• Assist in managing and training volunteers for performances and events

Facility Operations:
• Serve as onsite liaison for facility operations, including custodial services, parking, grounds, security, rented equipment, and inventory storage
• Supervise recycling/trash collection and contracted custodial staff
• Maintain current building map for events
• Assist with supply and equipment deliveries, rentals, or returns

Human Resources:
• Serve as the primary contact for routine HR questions/issues from employees and independent contractors (primarily coaches), including coordinating PTO requests/balances
• Track approved and actual hours, and assist with payroll
• Assist the Executive Director by documenting HR issues
• Assist in maintaining files for employees and independent contractors
• Assist in implementation of employment policies handbook
• Assist with job descriptions, posting open positions, and preliminary screening of applicants

Risk Management:
• Maintain documentation and coordinate implementation of safety policies, coordinate all inspections and procedures, e.g. OSHA, accident reports, training, Red Cross certification
• Manage distribution of certificates of insurance for events

Employment Information:
• This is a full-time exempt position, reporting to the Executive Director
• Primary hours will be standard office hours Monday through Friday; evening and weekend hours as needed for meetings, performances and events, especially during public shows (two weeks in April, three weeks in July/August).

Qualifications or requirements

• Business degree preferred or commensurate experience
• Minimum 3 – 5 years of experience in positions of increasing responsibility
• Experience working in a multi-faceted position, given the wide variety of duties included above
• Experience for nonprofit organizations desirable but not required
• Experience with circus arts and circus operations desirable but not required
• Interest in youth development, performing arts, and working as a member of the administrative team of a unique, cutting edge organization

• Adaptability and flexibility to multi-task and prioritize/execute projects and duties successfully
• High ethical standards especially while maintaining confidentiality
• Proficient in Microsoft Office Outlook, Word and Excel
• Strong administrative skills – analytical skills, problem solving, decision-making
• Excellent written and verbal communication skills, ability to create effective procedures/processes
• Effective interpersonal skills to work with a diverse group of individuals including staff, our international coaches, young people and their families
• Given the nature of this position and our facility, an employee in this position will need to move through and access all areas of the buildings and grounds including stairs, indoor/outdoor areas, and small spaces, and lift 25 pounds.
