THE POSITION
The Education and Professional Training Coordinator is responsible for coordinating the day-to-day logistics of a variety of Education and Professional Training programs at the Guthrie Theater and for providing general administrative support to help bolster the productivity, efficiency and overall effectiveness of the department. Responsible for a number of key operations and public-facing activities, the Education and Professional Training Coordinator serves as the primary point of contact for most of the programming involving student and community participation including the Student Matinee experience, Summer Camps, Level 8 Classes, BFA Program and A Guthrie Experience. As with all the positions in the Education and Professional Training Team, the role will staff other Artistic Department events and programming as time allows. This position is full-time, non-exempt (hourly) and benefits-eligible. Compensation for this position is $17.12 – $21.40 per hour plus benefits. The typical schedule for this role will vary based on the dynamic schedule of a theater.

PRIMARY DUTIES AND RESPONSIBILITIES
1. Student Matinees
• Support a Teaching Artist cohort in the development of student engagement activities including pre- and post- play presentations, in-school curriculum, play guides and virtual engagement opportunities.
• Assist in contracting and scheduling teaching artists, presenters and support staff.
• Support the Education Program Manager with internal and external outreach and communication.
• Communicate details and logistics with Audience Services, Guest Services, Security and other key staff.
• Communicate details and logistics with Educators to ensure an impactful experience for students.
• Oversee day-of logistics including set-up, pre- and post-play coordination, take down and storage.

2. Classes and Professional Training Programs
• Manage and maintain space reservations and Level 8 classroom spaces and equipment.
• Assist in building and maintaining classes and events in Tessitura.
• Communicate with students and class participants, serving as a liaison between students and instructors.
• Assist in the contracting and scheduling of Teaching Artists and work with the Finance department to ensure payment.
• Welcome Teaching Artists and students to the Guthrie and help to facilitate equitable access for all.
• Assist in implementing student appreciation programs, incentives and certificates.
• Support the Education Program Manager in maintaining a database of Teaching Artists and Curricula.

3. Summer Youth Experiences
• Manage registration details and communications for Summer Youth Experiences.
• Assist in building and maintaining Summer Youth Experiences in Tessitura.
• Oversee participant check-in and check-out to maintain impeccable attendance records.
• Act as the point of contact for all Summer Youth Experience activities.
• Assist in the contracting and scheduling of Teaching Artists and work with the Finance department to ensure payment.
• Support the Education Program Manager in producing youth performances with guest audiences.
• Exercise effective and culturally competent communication with parents and guardians.

4. Administration
• Maintain knowledge of all security, safety and emergency procedures.
• Assist Education and Professional Training in coordination of all programming and events.
• Manage and update program calendars and ensure effective distribution of information.
• Coordinate and support travel arrangements for program recruitment.

• Complete other duties as assigned.

Qualifications or requirements

• Prior administrative support experience in theater and/or arts education preferred. Formal, informal and cross-disciplinary experiences will be considered.
• Experience managing and coordinating multiple organizational priorities.
• Demonstrated ability to manage multiple priorities and maintain composure and diplomacy during stressful situations.
• Experience and ability to make independent decisions, exercise appropriate judgment and maintain confidentiality as needed.
• Communicates effectively and persuasively in oral and written communication on both an interpersonal and group level.
• Commitment to fostering and maintaining positive relationships with colleagues, teaching artists, community partners, volunteers and the general public.
• Proficient in Microsoft Office Suite (Excel, Word). Ability to use and apply technological resources.
• Experience working with and entering data in a CRM or database. Tessitura experience a plus.
• Must be willing and able to work flexible hours/days reflective of the dynamic schedule of a theater.
• Experience, ability, and commitment to working with individuals and teams that are mixed across lines of difference such as race, gender-identity, sexual orientation, religion, ability, age, class and immigrant status.
