Job description

SUMMARY AND OBJECTIVE

The Executive Assistant to the President and Secretary of the Board of Trustees provides comprehensive administrative support to the President of the College and the Board of Trustees. The Executive Assistant and Secretary of the Board of Trustees must be sensitive to college needs, employee and student goodwill, and overall brand identity of MCAD as an employer and educational institution.

ESSENTIAL FUNCTIONS

For the President:

Represents the office of the President with colleagues, students, the Board of Trustees, and members of the public.
Coordinates and manages with diplomacy the president’s complex and dynamic calendar.
Assists the President in strategic planning, marketing, and fundraising.
Supports work of college-wide committees as assigned; for example Visiting Artist Committee.
Manages correspondence for the office of the President including drafting and final preparation as well as coordination and review of materials prepared by other offices for the signature of the President.
Coordinates, attends and takes notes for the Executive Leadership Committee (ELC) and any other meetings as determined by the President
Works with Vice Presidents of the college as needed and or assigned
Manages the budget of the immediate office of the President, including preparation of the budget, processing of invoices for payment, and ongoing monitoring of expenditures.
Coordinates and works at special events as assigned, working with other administrators and staff.
Supports the President through coordination management of filing, travel arrangements, supplies and equipment.
Other responsibilities as required and assigned by the President.

For the Board of Trustees:

Serves as Secretary of the Board of Trustees.
Coordinates and works with the President, Chair and Governance/Nominating committee Chair(s) in accordance with By-laws for Trustee Terms of service, Board Orientation and tour of campus
Assist and maintain running list of possible candidates for Trustees
Responsible for providing and collecting Board annual documents; Conflict of Interest, 990, Giving, and Confidentiality agreement
Organizes a yearly calendar of meetings for the Board of Trustees, the Executive Committee and the other committees of the Board in coordination with and input from the President, Board Chair and Committee Chairs
Coordinates and manages all meeting arrangements, including space, catering, facility equipment needs, AV needs and notification of participants.
Prepares preliminary meeting agendas for approval by the President, Board Chair and Committee Chairs as appropriate.
Prepares, assembles and distributes required meeting materials
Attends Board of Trustees and Committee meetings and takes minutes
Maintains all minutes and records for the Board of Trustees and ensures that all information and rosters are kept current.
Coordinates Trustee attendance at commencement.
Miscellaneous duties as required and assigned by the Board Chair.
Represents MCAD’s vision, purpose, and values in day to day work and interactions with MCAD students, staff, faculty, and campus guests, as well as the greater community.

SUPERVISORY RESPONSIBILITIES

This position has supervisory responsibilities as assigned by the President.

Qualifications or requirements

EDUCATION

Bachelor’s Degree in Liberal Arts, or related field preferred.

EXPERIENCE

5 or more years of progressively responsible administrative experience required.
Experience with a Higher Education environment preferred.
Strong problem solving skills and technical aptitude.
Demonstrated ability to facilitate communication, confidentiality and collaborate across departments.
Professional experience requiring and adhering to high levels of confidentiality, diplomacy, discretion and composure.
Track record for effective time management for self and others (such as efficient use of meeting time, agendas, etc.).
Experience managing multiple complex and competing priorities with positive outcomes.

EVALUATION

Certification/Licensure not required for this position.

This position operates in a professional office environment. This position requires the ability and willingness to closely partner with team members and colleagues in other departments. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms.
